    • Costa Rica

Costa Rica means Rich Coast however, I will have to disagree! The Whole Country is Rich, not only the Coast!! Costa Rica is a tiny country of only 51,100 km2; perhaps just a little bigger than West Virginia in the USA, but with 5 million inhabitants. Costa Rica has beautiful beaches, awesome volcanoes and mountains, natural hot springs. Its biodiversity accounts for 6.5% of all the planet biodiversity, 9.9% of its GDP (an important economic indicator) goes into health and 7.6% into Education. We are blessed that in 1948 the army was abolished and that we hold the Nobel Peace Prize (1987). Sounds like a paradise right? Indeed it is; however, the Pura Vida (Pure Life) phrase that characterizes us gets short in covering the whole reality that we live. Poverty, unemployment, lack of access to health services, increase in the number of migrants that stay in our country, saturation of our health system, medical personnel that leave the social system looking for better salaries in the private sector,  are just some of the factors that Costa Ricans have to deal with every day. More and more we find “vulnerable communities” filled with Costa Ricans and immigrants, especially from Nicaragua. These people with no permanent jobs do not have access to the social system services. It is where agencies, such as ISL help to provide people with some basic human services to palliate their most basic needs. That is the other half of the story about Costa Rica. We sure hope to count with you, your generous heart and your feet and hands to help us bring a little more of the Pura Vida to them. Thank YOU for choosing Costa Rica for your next educational, cultural, mission trip! Enjoy paradise and help others! Remember, “Do not withhold good from those to whom it is due when it is in your power to do it” (Proverbs 3:27). Gracias! Pura Vida! See you here soon!

Admin Team Setup

Team/Program Set-up

A guide for setting up a team

  • Step 1:

    Determine the Team Type
  • The Team Type describes the type of volunteers participating in the program and determines what options you have for team set-up and where the team is visible on the website.
  • Step 2:

Fill out Hash Tag and Schedule.
  • Hash Tag:

This defaults to the same thing as the Team Code but can be changed. This code is mainly for external use. You can use it to search for a team in the teams list.

    Schedule:
    • Country
    • Region
    • Program
    • Start Date
    • End Date
    • Days (This is automatically calculated based on start and end date)
    • [Delete] [Add] (This feature allows you to create multi country and multi program teams.)
  • Step 3:

Determine if this teams needs to have "Hidden Financials"
  • Open, High School, and Custom 3rd Party teams do not have the option to have their financials hidden

  • Please select one for specified instructions
  • You do not need to hide the financials.
  • Yes, this team should have 'Hidden Financials'
This option will not be available until you save changes
  • Step 4:

Enter Cost, Application Fee, and Deposit
  • Although these fields might have a greyed out value they will default to $0 if nothing is filled out.
    Cost:
This is the cost per person

    Application fee:
    This is typically $85
  • The Deposit MUST BE $0.00 for Hidden Financial teams
  • Deposit:
    The Deposit is typically $200
  • Step 5:

Fill out Arrival and Departure Country
  • Arrival Country and city should be the name of the country and city of the airport volunteers are traveling to.
Departure Country and city should be the name of the country and city of the airport volunteers are traveling back home from.
this information is used to communicate the airport that volunteers will be traveling to and from
  • Step 6:

    Minimum and maximum volunteers
  • Set the minimum volunteers to the amount of vols you would like in order to trigger the team as a “GO” status. The system automatically changes the team status to go when the minimum number of volunteers is met.

When the maximum amount of volunteers is met, the system automatically closes the team and no more volunteers can register. For custom teams the maximum is never visible to the public so we can set it to whatever we want.

After the maximum is met the team page will say "sold out"
  • Set the minimum volunteers to the amount of vols you would like in order to trigger the team as a “GO” status. The system automatically changes the team status to go when the minimum number of volunteers is met. moving forward with open teams this will probably be 1 most of the time

When creating an open team set the maximum to 12. When the maximum amount of volunteers is met, the system automatically closes the team and no more volunteers can register.

with open teams the public schedule will say "* more to to make this team a GO" before the minimum and "only * more spots left" after the minimum is met calculating to the maximum. After the maximum is met the team page will say "sold out"
  • Step 7:

    Team Chat & Automatic Messages
  • Generally we can keep Team Chat and Automatic Messages both enabled (checked)
Team Chat allows volunteers to communicate with each other in their myISL portals.
Automatic messages are all of our built in reminders for volunteers to fill out and print out all of their important information.
  • Hidden Financial teams will NOT receive messages having to do with finances when the automatic messages box is checked.
  • Step 8:

    Point of Contact
  • We do not need a POC on open teams
  • Add Point of Contact info if applicable. The POC can just be an email or they can be the email associated with an user registered for the team. If they are not registered for the team they will not have any sort of account this is only a person you are able to send invoices to, if they are also registered and on the team they will have access and editing capabilities to the team roster and information
  • Step 9:

    Goal & Featured Image
  • The Team Goal and Featured image are not necessary to the function of the team however they do both show up on the team page and are nice additions to customize any team.
  • Step 10:

    Save Changes!
  • Click "Save Changes"!
The team is now created but we're not finished!
  • Final Team Set-up

    final team set up checks
  • on the Team Setup tab change the Status from 'PENDING APPROVAL' to 'OPEN', this is is the registration status, open in this case means that the team is open for registration.
  • On the Team Setup tab change the Status from 'PENDING APPROVAL' to 'GO'. This is necessary for Custom Teams in order to avoid some messaging intended for open teams
  • make sure to go back and check the 'Hidden Financials' box!
  • Always make sure to click 'Save Changes' whenever you make an adjustment to the Team Setup
  • Add-Ons

  • Check all Add-ons applicable to your team. Make sure to type in the dollar amount in the box next to the Add-on name. (MPA is now $95)
    Click “Update Team Add-ons” button.
  • Team Itinerary

    Itinerary Tab
  • Choose the 'reset itinerary to:' that most closely represents your New Team (days, program..etc). Click “GO”. Check box “Show public view”. Scroll down and click “Save changes”.
  • This is not entirely necessary for custom teams if there is not a template that is close to the custom team's itinerary
  • Documents

    Documents tab
  • Make sure that all available documents applicable to your team are checked, if they are not check them and click save changes.
  • Staffing

    Staffing tab
  • Assign a VEC to the team. If unsure, assign Diane. A VEC is necessary to answer Staff Chat messages on the team.
  • Public team note

    (external)
  • This is what volunteers see when they register for the team and log onto their MyISL accounts.
This note will appear next to their VEC’s photo.
Here is a default message: “Welcome to #hashtag. As you prepare for your program, be sure to fill out your MyISL profile information and read all trip documents. If you have any questions, feel free to message me on the Staff Chat!”
  • Chart Note

    (internal)
  • This is only seen by staff on the backend. Note the school/org, enrollment goal, point of contact, and your initials. You may also reiterate any special instructions from the Custom Team Sheet.
  • You're done!

You do not need to submit this form, it is only a guide.
